Every policy moves through the same five stages, but each product line names them in its own words and hands them off differently. The stage tells you who owns the next action.
Agents stop at Sold
An agent's job ends at the sale. Once a policy is sold, back office submits it, follows underwriting or verification, and puts it in force. Agents see every policy past that point as Sold, with no underwriting outcome, approval, issue or in force dates, delivery, lapse, carrier flags or commission. Back office and owners see the full trail.
An agency can let a custom role see the full trail by turning on See policies after the sale in roles and permissions.
Health coverage (ACA)
- Not signed: the agent sends the consent for signature.
- Sold: the member signed. QualityQuotes marks it sold on its own.
- Submitted: back office sent it to the carrier.
- Verified: back office confirmed it with the carrier.
- Active: back office put the policy in force.
Life
The agent completes the application on the call, then chooses Send summary and mark sold on the policy card. That sends the member their Application Summary and marks the policy Sold. Back office records the carrier submission and takes it from there.
- Life: Summary not sent, Sold, Underwriting, Approved, Active.
A Life policy goes in force only once the first draft has cleared; back office confirms that when moving it.
Medicare and Supplemental
The agent submits these on the call, in the carrier portal. Afterward, open the policy and choose Record submission. That one step moves it straight to the carrier stage, so it never waits in Ready to submit.
- Medicare: Not enrolled, Submitted, Confirmed, Active.
- Supplemental: Not sold yet, Submitted, Approved, Active.
Back office posts the carrier's answer (Approved or Confirmed) and puts the policy in force.
When a policy looks stuck
Open Policies and check its status chips. Pending documents and missing data are yours to clear. Carrier declines, payment failures and approvals show to back office only.
Back office works from Back Office Policies: Ready to submit, With the carrier, Approved, In force. Agents cannot submit a Life policy, verify, or put a policy in force.
